Terms of booking
Last updated 25 August 2026
These terms apply to every booking made with AirBooking, whether you book for yourself or through your employer, travel agency or travel management company. By booking you accept the version published here on that day. If you do not accept it, do not book.
Who we are
AirBooking is a travel concierge. You ask for flights, stays and activities in one conversation. We search live inventory, show you what is available, and book only when you tell us to.
Two companies operate the service. The one you contract with depends on where you are billed.
Billed in India, in rupees: AIRBOOKING TRAVEL AND TOURS PRIVATE LIMITED, CIN U79110KL2020PTC062822, GSTIN 32AALCP2354A1ZW, Door No. 25/14, Ohm Nivas, K T Gopalan Road, Kottooli, Kuthiravattom, Kozhikode 673016, Kerala, India. Payments run through Razorpay.
Billed anywhere else: AirBooking Technology LLC, Office No. 716, Business Village, B Block, Deira, Dubai, PO Box 117402, United Arab Emirates. Payments run through Stripe.
Your confirmation and invoice name the company you contracted with. "AirBooking", "we" and "us" in these terms means that company.
What these terms cover
Bookings made in the conversation, on the website, in the iOS and Android apps, and anything we confirm to you afterwards. The airline, hotel or activity operator's own rules for the trip apply as well: conditions of carriage, fare rules, rate rules, cancellation terms. We show them before you pay. Where the supplier's rule is stricter than ours, the supplier's rule applies to that part of the booking.
Our Privacy Policy is part of these terms.
Booking through your organisation
If your employer, travel agency or travel management company has an agreement with us and gave you access, three things are different.
The organisation's agreement sets the money side: what it pays, how it pays, what content it can book, what happens when it leaves. Where that agreement and these terms disagree on money or access, the agreement wins for the organisation. These terms still govern your own use of the service.
The organisation controls the account. It can set a travel policy that limits what you may book, require an approver to sign off before anything is confirmed, see every booking made under its account, pay on its own card, invoice account or airline billing account, and remove your access. An approver's decision on an out-of-policy booking is final. If the organisation paid, refunds go back to the organisation.
When you leave the organisation, your access under its account ends. Bookings you paid for on your own account remain yours.
A travel agency or travel management company that books for its own clients through AirBooking is responsible to those clients under its own terms. We are the agency's supplier, not the traveller's.
Who can book
You must be 18 or over. You can book for other people, including children, but the booking is yours: you are responsible for their details being correct and for passing on the rules that apply to them. By adding a traveller you confirm they agreed to you sharing their details with us.
Infants under two travel on an adult's lap unless you buy a seat. An infant who turns two before the return flight needs a child fare for the whole trip. Children under twelve pay the airline's child fare where one exists. Ages count on the date of each flight, not the date of booking. We do not book unaccompanied minors; a child must be on the same booking as the adult travelling with them.
We cannot sell to anyone on a sanctions list, or for travel that the law of India, the UAE or the supplier's country prohibits. If a restriction catches a booking after it is made, we cancel it and refund what the law and the supplier allow.
What we do and what the supplier does
We are a booking agent. We search, book, ticket, keep the record and help when something needs changing. The airline flies you, the hotel hosts you, the operator runs the activity, and your contract for that service is with them, under their rules. If the travel service goes wrong, we help you reach the right party and give you the records you need.
Nothing is booked until you confirm
A flight, stay or activity is confirmed only when you approve the price and details, payment succeeds, and, where your organisation requires it, an approver signs off. A suggestion in the conversation is not a reservation. A hold, where one appears, is temporary and lapses if payment is not completed in time.
Check every name, date and route before you confirm. Names must match the travel document letter for letter. Most airlines allow a small spelling correction after booking, usually for a fee. None allows one passenger to be replaced by another; that means cancelling under the fare rules and booking again at the current price.
Seats, baggage, meals and other extras are sold under the supplier's rules for that extra, and most are non-refundable even when the fare is refundable. Special assistance, medical clearance and travel with a service animal must be requested at booking and are granted by the airline, not by us.
Prices
Prices are shown in the currency on the offer: rupees for bookings billed in India, the currency at checkout for everyone else. The total on the offer is the total we charge. It includes the supplier's fare or rate, taxes and airport charges, any AirBooking service fee, and GST on our fee in India or VAT in the UAE where it applies. Currency conversion or international transaction fees charged by your bank are between you and your bank.
Prices move until you confirm; airfares in particular change with availability. If the price changes between the offer and your confirmation, we tell you and ask again before charging.
If a price is obviously wrong because of a system or supplier error, we may cancel the booking. We tell you promptly and refund in full.
Promotions and discount codes carry the conditions shown with them. They cannot be combined unless we say so and have no cash value.
Payment
Card details go into a payment page run by our payment provider. They are never typed into the conversation. We accept the cards and methods shown at checkout. If you book through your organisation, payment may go to its company card, invoice account or airline billing account instead; the organisation is then responsible for the charge and you may see no payment step at all.
Your card is authorised when you confirm and charged only when every part of the booking is confirmed by the supplier. If any part fails, the authorisation is released and nothing is charged. Banks can take a few days to clear a released authorisation from your statement.
Payment providers and airlines run automated fraud and sanctions checks. A payment can be declined by those checks without a reason being given to us. Nothing is booked and nothing is charged.
Once payment succeeds you receive a confirmation with the booking references and an invoice from the company you contracted with. That confirmation is the record of what was booked. Keep it.
If you dispute a payment with your bank after the travel has been delivered or the booking used, we may recover the amount from you.
Delivery
Everything we sell is delivered electronically. E-tickets, vouchers and confirmations go to the email address and phone number on the booking and appear in the app under your trips, normally within minutes of payment and always within 24 hours. Nothing is shipped. If you have no confirmation after 24 hours, contact us before you travel.
Changes, cancellations and refunds
This section is our cancellation and refund policy. It is also published on its own page, Cancellations and refunds.
The supplier decides what is refundable. Some fares and rates are fully refundable, some partly, some not at all. The rules for your booking are shown before you pay and again on your confirmation.
To change or cancel, ask in the conversation or open the booking under your trips in the app. We apply the fare or rate rules. The supplier's change or cancellation fee and any fare difference are set by the supplier. AirBooking charges a service fee of [AMOUNT or NONE] per change or cancellation. We do not add penalties of our own.
A cancellation takes effect when we receive it. Suppliers apply their own cut-offs: many airline fares cannot be cancelled inside a set number of hours before departure, and activities typically become non-refundable 24 to 72 hours before the start time.
If you do not travel and did not cancel, the supplier's no-show rule applies, and most no-shows are non-refundable. Unused sectors of a partly used ticket are refunded only where the fare rules allow, and rarely pro rata.
If the airline changes or cancels your flight, we pass on the options the airline gives us, an alternative flight or a refund, as soon as we have them. Where the law requires the airline to refund or compensate you, for example under the DGCA's passenger rules in India or UAE aviation regulations, that law applies and nothing here limits it. Compensation for delay or cancellation comes from the airline.
If we have to cancel a booking through no fault of yours, because the price was wrong or ticketing failed, we refund everything you paid for it.
If an airline, hotel or operator becomes insolvent or stops operating, your claim is against that supplier, its insurer or your card issuer. We refund whatever the supplier returns to us, give you the booking records for a claim, and tell you how to raise a chargeback where one is possible. We do not underwrite a supplier's failure.
A trip made of more than one ticket, for example an outbound on one airline and a return on another, is more than one contract. A delay or cancellation on one ticket gives you no rights on the other, and we do not compensate for a missed connection between separate tickets. For a protected connection, book a single through ticket.
Refunds go to the original payment method only, or to your organisation if it paid. We initiate a refund within 7 working days of the supplier confirming the refundable amount. Your bank then typically takes 5 to 10 working days to show it; some banks and some international cards take longer. Where the supplier itself is slow, and some airlines take weeks to release funds, we tell you the expected timeline and pay you when the money reaches us. If a refund is later than we said, tell us and we will chase it.
Your responsibilities
Travel documents must be valid for the whole trip; many countries require six months' validity beyond your return date. Visas, transit visas, entry permits, vaccinations and travel advisories are yours to check with the embassy or authority concerned. We may show general information; it is not a substitute. If you are refused boarding or entry over a document, the supplier's no-show and refund rules apply.
Reconfirm flight times the day before you travel. Airlines change schedules, and the time on your ticket is the time when it was issued. Arrive at the airport, hotel or meeting point with the right documents and inside the supplier's check-in deadlines.
Read your confirmation when it arrives and tell us at once if anything is wrong. Keep your login to yourself; bookings made from your account are treated as yours.
Acceptable use
Use AirBooking to plan and book travel for yourself, or for your organisation if you are booking on its behalf. Do not make speculative or fraudulent bookings, resell bookings, scrape or copy content or prices, reverse engineer the product, interfere with its operation, or use it for anything unlawful. We may suspend or close an account used in those ways and cancel bookings we reasonably believe are fraudulent.
The software, design and content we write belong to AirBooking or its licensors. Supplier content belongs to the suppliers.
If your misuse of the service, a fraudulent or speculative booking, or incorrect details you supplied cause a claim, fine or loss to AirBooking, including an airline debit memo, you bear it.
Links to airline, hotel, visa, insurance or other third-party sites are provided for convenience. We do not control them and are not responsible for them.
Messages we send
We send the messages a booking needs: confirmation, e-ticket, schedule changes, gate or time changes the airline passes to us, and the receipt. They go by email, SMS, push notification and, where you gave us a WhatsApp number, WhatsApp. They are transactional and are sent even if your number is on India's DND register or a similar list, because you need them to travel. Marketing is separate and goes only to people who opted in; see the Privacy Policy.
When a booking cannot be completed
Inventory moves. An offer can disappear between the moment you choose it and the moment you pay. If we cannot complete a booking, you are not charged, any authorisation is released, and we help you choose another option.
How the concierge works
The concierge searches live inventory and describes options in plain language. The order in which options appear is set by automated rules weighing price, timing, your stated preferences and, for organisation bookings, the travel policy. It is not a ranking of quality, and no supplier can pay to appear higher. Times, dates, fare rules, baggage and refund terms are shown from the supplier's data, and those are what apply; if the conversation and the offer details differ, the offer details govern. Nothing the concierge says is legal, visa, health or financial advice.
Liability
To the extent the law allows, AirBooking is not liable for delays, cancellations, overbooking, schedule changes, strikes, weather, or any failure in the travel service itself, which the supplier provides under its own terms.
Neither of us is liable for failing to perform these terms because of something outside our reasonable control: war, terrorism, civil unrest, epidemic, natural disaster, government action, airspace or border closures, industrial action, failure of a supplier's or payment provider's systems, loss of power or internet. If that happens we tell you what we know and help you rebook or claim from the supplier where we can.
Where we are liable to you for a booking, our total liability is the amount you paid us for that booking. We are not liable for indirect or consequential loss, such as a missed connection booked elsewhere, lost earnings, or the cost of arrangements you made separately.
Nothing in these terms limits liability that cannot legally be limited, including for death or personal injury caused by negligence, for fraud, or for your rights as a consumer under India's Consumer Protection Act, 2019 or the UAE's Federal Law No. 15 of 2020 on Consumer Protection.
